Terms & Conditions

Last updated: 17 July 2026

This page is maintained by VitalEasy Care Solutions Ltd to explain the terms on which we operate this website and provide regulated domiciliary care across the United Kingdom.

1.About us

VitalEasy Care Solutions Ltd ("VitalEasy", "we", "us", "our") is a company registered in England & Wales providing domiciliary (home) care services. Where we deliver regulated activities in England we do so under registration with the Care Quality Commission (CQC); equivalent registrations apply with the Care Inspectorate (Scotland) and Care Inspectorate Wales as applicable to the branch delivering care.

You can contact us at hello@vitaleasycare.com or on 0800 123 4567.

2.Scope of these terms

These terms cover: (a) your use of this website and any forms submitted through it, including candidate applications and client care enquiries; and (b) the general basis on which care services are offered. A separate written Care & Support Agreement, including a personalised care plan, will govern the provision of care to any individual and will take precedence over these website terms in the event of conflict.

3.Regulatory standards we work to

  • Health and Social Care Act 2008 (Regulated Activities) Regulations 2014, including the CQC fundamental standards.
  • Care Act 2014 and the associated statutory guidance on person-centred care and safeguarding.
  • Mental Capacity Act 2005 and its Code of Practice, including best-interests decision-making.
  • Health and Safety at Work etc. Act 1974 and COSHH, RIDDOR and manual-handling regulations.
  • Skills for Care Code of Conduct and the Care Certificate for care workers.
  • NICE guidance relevant to home care, medicines management (NG67) and safeguarding adults.

4.Enquiries, assessments and care plans

Submitting a client enquiry does not create a contract for care. Where we can potentially meet a person's needs we will arrange a free, no-obligation needs assessment carried out by a suitably qualified assessor. Following assessment we will issue a written care plan and Care & Support Agreement detailing tasks, visit times, risks, medication support, funding and cancellation terms. Care only commences once that Agreement is signed by the client or their authorised representative.

5.Fees, invoicing and cancellations

Fees, minimum visit durations and any travel or bank-holiday uplifts are set out in your written quote and Care & Support Agreement. Invoices are typically issued fortnightly in arrears. Individual visits may be cancelled with at least 24 hours' notice at no charge; late cancellations may be chargeable at the full visit rate to protect the wages of the allocated carer, as permitted by the Consumer Rights Act 2015. Either party may terminate the ongoing agreement in writing on the notice period stated in your care plan (typically 7 days), without prejudice to safeguarding obligations.

6.Safeguarding

We follow local authority safeguarding procedures and the six safeguarding principles (empowerment, prevention, proportionality, protection, partnership and accountability). Any safeguarding concern will be reported to the relevant local authority safeguarding adults team and, where appropriate, to the CQC, the police and other statutory bodies, in line with our safeguarding policy.

7.Complaints and regulator contact

We aim to resolve concerns quickly and informally. Formal complaints can be sent to complaints@vitaleasycare.com and will be acknowledged within 3 working days and responded to within 28 days, in line with the Local Authority Social Services and NHS Complaints Regulations 2009. If you remain dissatisfied you may escalate to the Local Government & Social Care Ombudsman (England), the Scottish Public Services Ombudsman, or the Public Services Ombudsman for Wales. You may also contact the CQC at any time on 03000 616161 to raise a concern about the quality or safety of care.

8.Careers & candidate applications

Any offer of employment is subject to satisfactory pre-employment checks including identity, right to work in the UK, references covering the last three years, an enhanced Disclosure and Barring Service (DBS) check (or PVG in Scotland), occupational health clearance and completion of the Care Certificate induction. Documents you upload are used solely to assess your application and are handled in accordance with our Privacy Notice.

9.Use of this website

You agree to use this website only for lawful purposes and not to upload malicious content, attempt to gain unauthorised access, or submit information about another person without their consent. We may suspend access where misuse is suspected. Website content is provided for general information; it is not a substitute for individual clinical advice.

10.Intellectual property

The VitalEasy name, logo, brand elements, text and design of this website are owned by or licensed to VitalEasy Care Solutions Ltd. You may view and print pages for personal, non-commercial use. All other use requires our prior written consent.

11.Liability

Nothing in these terms limits our liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be limited by law. Subject to that, we are not liable for loss that is not reasonably foreseeable, for business losses, or for interruption caused by events beyond our reasonable control. Care services carry the professional indemnity and public liability insurance limits stated in your Care & Support Agreement.

12.Changes to these terms

We may update these terms from time to time to reflect changes in law, regulation or our services. The "last updated" date at the top of the page shows when changes were made. Material changes affecting existing clients will also be notified in writing.

13.Governing law

These terms and any dispute arising out of them are governed by the laws of England and Wales, and subject to the exclusive jurisdiction of the courts of England and Wales, save that clients resident in Scotland or Northern Ireland may bring proceedings in their local courts.
